All information in the company profile at Localrent Fleet system must always be up to date and accurate. This is the rental company area of responsibility. We do not make any changes to the company account without the rental company knowledge and consent.
Localrent Fleet system automatically confirms bookings for free dates only. Therefore, if the rental company has its own booking for any car, or car is not available due to any other reason, the rental company should immediately mark this car as “booked” in its Localrent Fleet account calendar, in order to avoid double booking so called “overbooking”.
Any “overbooking” is the responsibility of the rental company. In case overbooking occurs, preference should be given to Localrent booking.
Car Replacement Policy
If it is impossible to provide the reserved car, including breakdown, confiscation, extension of the previous booking, loss of keys, documents or car, but excluding force majeure circumstances (natural disasters, martial law or state of emergency in the country), the rental company undertakes:
To provide a car of the same or higher class and price level, with the same or better technical characteristics. This replacement to be arranged without any changes of the booking cost and rental conditions for the customer.
To notify Localrent of the replacement as soon as possible, but not later than 42 hours before the scheduled time of car pick up or delivery.
If the rental company fails to arrange the appropriate replacement of the car, Localrent can find a replacement option from another supplier. In this case, the rental company covers the difference of the cost of rent, if such occurs.
If the rental company cannot fulfill the booking, then it is obliged to pay the compensation specified in section “5. Cancellation Policy”.
Reservation depth and Urgent bookings
By default, the customer can book a car with pick up date set not earlier than the day after tomorrow, i.e. on the second day after the day when the booking is created. This is the minimum booking depth for regular bookings.
The maximum booking depth is unlimited.
Bookings with the pick up date set for today and tomorrow (i.e. the pick up of the car on the day the booking is created or the next day) are called “Urgent bookings”.
By agreement with the rental company, Localrent can activate the access to Urgent bookings. In this case, customers can book cars of this rental company even for today and tomorrow.
In case of Urgent bookings, a certain time period should be reserved between the time of the booking creation and the pick up of the car. This time period should be long enough for the preparation of the car and delivery to the place of the pick up of the car. This time period the rental company should specify in advance in the relevant sections of its Localrent Fleet account.
Pricing policy and commission
Prices, specified by the rental company in company's Localrent Fleet account are final booking prices for the customers (brutto prices).
After the booking is created, the cost of the car rent, including prices for the ordered services, insurances and additional equipment is specified in the customer's car rental voucher, as well as in rental company account in Localrent Fleet, for the relevant booking. No subsequent changes in the rental and/or service prices of this car can affect the prices and conditions that were in force at the moment when the booking was created The customer must receive the car and all ordered services at the price and on the conditions that were in force at the moment when the booking was created.
Localrent booking commission is determined by Localrent with the consent of the rental company, as a percentage fee of the booking cost (set by the rental company).
The percentage of commission does not impose the cost of delivery of the car, costs of additional equipment as well as cost of service out of hours, in order to maintain the lowest possible cost of these options.
Localrent commission is withheld from prepayment, which is made by the customer after booking creation.
Booking cancelation policy
Cancellation of the prepaid booking at the request of the customer without a penalty is possible not later than 7 days in advance (for the categories' Lux ' and Convertibles' – 30 days) before the pick up of the car. If the prepaid booking is canceled at the request of the customer later than stated above, the advance payment that customer made, is credited to the rental company as compensation, in full amount.
If the rental company cancels non-urgent booking within 24 hours after the moment when customer made the advance payment, without providing any replacement, the advance payment is refunded to the customer in full amount. The rental company compensates Localrent the refund transaction costs, in the amount of 10% of the advance payment.
If the rental company cancels non-urgent booking later than 24 hours after the moment when customer made the advance payment, without providing any replacement, the advance payment is refunded to the customer in full amount. The rental company compensates Localrent the refund transaction costs, in the amount of 10% of the advance payment and pays the penalty equal to the amount of the advance payment.
If the rental company cancels urgent booking in more than an hour after the moment when customer made the advance payment, without providing any replacement, the advance payment is refunded to the customer in full amount. The rental company compensates Localrent the refund transaction costs, in the amount of 10% of the advance payment and pays the penalty equal to the amount of the advance payment.
If security department of a rental company has justified reasons to refuse providing a particular customer with a car rental services, the rental company is obliged to inform Localrent about this not later than 2 hours after receiving the booking. In this case, the full amount of the advance payment is refunded to the customer. In case such cancellation is initiated by the rental company later than in 2 hours after receiving the booking, cancellation is made according to normal conditions (see paragraphs above).
